Meeting Minutes

Racquet Den Update

The first ever Revelstoke Racquet Den coaching clinic took place on the May 30 to June 01, 2008 weekend.  Kevin Dorius, Angus Woodman, Norm Tennant, Greg Louttit, Barry Rourke, and Keith McNab from our club along with Kurt Lindemark from Kamloops took part in the clinic taught by Brooke Sivers of Kamloops.  We now have 6 members with the Level 1 Technical coursework done and are looking to offer 25 hours of lessons in order to complete the Level 1 Practical coursework on the way to becoming certified Level 1 coaches.

In support of this endeavour, the Revelstoke Racquet Den has purchased 8 junior racquets, 8 full size racquets (not so expensive), 8 junior eyeguards, and one box each of junior squash balls and single yellow dot squash balls.

We appear to be well positioned to begin our junior program in the fall.

 

Financial Report

We had a brief discussion around which accounting system or style to use and the dates for the fiscal year.  Kevin also mentioned the need to develop a better system to track expenses and cash flow during tournaments than we had for our first tournament.

 Motion:     That the Revelstoke Racquet Den borrow $3,000.00 from the Community Futures organization to facilitate cash flow in the near term.  Passed unanimously.

 We anticipate repaying the loan in the fall after our membership drive and the anticipated cost of the loan is around $50

 

AGM

We need to hold an annual general meeting (AGM) within 18 months of our becoming a society.  The proposal is to have an AGM combined with something of a social event later in August.  More details to follow via e-mail.

 

Squash BC Individual Memberships

To provide the club and its members a greater degree of insurance and/or protection, we want to include the cost of a Squash BC membership in the cost of membership in the Revelstoke Racquet Den.  The cost to the club is slightly reduced compared to the regular individual membership in Squash BC.

Motion:     That the Revelstoke Racquet Den add $30.00 to all its individual membership fees to cover the additional cost of an individual Squash BC membership through a sanctioned club.  Passed unanimously.

The increased cost needs to be reflected in the season’s pass prices and should not be confused with an increase in basic prices, but rather an additional cost to reflect an additional benefit on top of the same price structure as last year.  Since the memberships in Squash BC are individual, the price changes should reflect the number of individuals involved in the price category.

The pricing sheet included below should reflect the additional cost of individual Squash BC memberships.

 

It was also decided to drop the summer passes since we are not only not actively marketing these passes, but we are giving the summer months away free as a bonus to folks buying full year passes.  In addition, we haven’t sold a single summer pass in the past year.

Our junior program will include neither a Racquet Den membership nor a Squash BC membership, but will have a price attached to it.  We discussed seeking a sponsor for our junior progam and will begin a campaign shortly.

 

Membership Drive / Fundraising

We had a brief discussion around increasing our membership.  To have 70 members would mean that we could easily meet all our financial obligations.  Revenues generated through other activities such as tournaments and fundraisers, would allow for additional expenditures in support of club activities.  As usual, it would be great if each member were to sign up one or two members.

 

Tournament

The October dates of The Bear’s Den Classic tournament might be causing some difficulties among other clubs within the interior circuit.  Even though we have the paperwork completed and in to Squash BC to secure the dates we desire, other clubs have expressed concern about our tournament dates.  Kevin is in discussions with the various clubs and Squash BC around possibly moving the tournament date.  More news as it develops!
